The Administrative Assistant supports the CEO and Team in assuring that administrative processes run smoothly and efficiently.

Job Responsibilities and Tasks
Support CEO
● Report to CEO with daily updates, accomplishments, and any issues requiring attention
● Efficiently manage the CEO’s calendar, prioritizing external meeting coordination and logistics, organizing documents, preparing minutes
● Assist CEO with travel plans, including flights and lodging, and production of materials for conferences and conventions
● Manage administrative tasks, including making phone calls and answering phones
● Liaise with vendors and clients on behalf of CEO
Project Management Assistance
● Assists team on Project Management by tracking deadlines, facilitating communications internally and externally.
● Reporting achievements and milestones, proofing and sending reports, especially to external customers and funders
Organize work space-physical and virtual
● Supervise office operations, vendor relations, organization, and supply inventory
● Act as the primary liaison for workplace needs, addressing and resolving issues promptly
● Monitor and manage the workplace budget to ensure effective resource allocation
● Assist with arranging for insurance, permits and certifications
● Coordinate with IT consultants to assure that Rx Bandz cybersecurity is properly maintained, and employees remain productive electronically
● Organize and maintain Google Workspace files and folders
Support Human Resources Coordinate with Human Resources contractors
● Recruit, schedule interviews and onboard new employees

Assist with writing job description

Promote safe practices and maintain OSHA files
● Organize training programs and follow up to assure participation of team members
● Coordinate using HR software, including updating Employee Handbook
● Maintain company policies and procedures
Assist with public facing communications programs
● Oversee and expand the company’s social network by posting articles in LinkedIn, Facebook and other outlets
● Coordinate with design and data entry contractors

Required Skills and Qualifications
● Proven experience as an administrative assistant or similar role, especially in a fast-paced environment
● Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace
● Working knowledge of office management systems and procedures
● Quick learner
● Excellent organizational, logistics, task prioritization and time-management skills, and ability to prioritize work and multitask, especially in a fast-paced work environment
● Attention to detail and ability to produce accurate work while meeting deadlines
● Strong problem solving skills
● Excellent communication and interpersonal skills
● Ability to work independently and demonstrate resourcefulness
● Collaborate as part of a team
● Demonstrate ability to improve processes
● Clear and precise speaking and writing English and proofreading skills
● Discretion in handling sensitive and confidential information

Experience
Associate degree, Bachelors degree preferred
● 3+ years of experience as an Administrative Assistant, preferably in a fast-paced, high-growth setting
● Familiarity with project and task management tools, with a solutions-oriented mindset to improve efficiency and solve challenges
Must be a US citizen due to DoD contracts
Salary: $21-$30/hour, based on experience and qualifications. ($16,380- $23,400 annual)
